Google offers you such an awesome feature as collaboration. If you use Google Apps at work you already know that you can share your files and even whole folders with your colleagues, give them full access to the data in these folders and work together on the same project and forget that hideous copy-pasting procedure via USB and CD ROM that you were used to in the past. But don’t forget web sharing can bring huge risk on your corporate data and your colleagues can accidentally on purpose delete the files that you still need. Of course all these security issues wouldn’t matter unless you don’t back up files on Google Drive. Recently Google has implemented new hint what allows you to monitor which level of access to your files and folders is given to whom.
First of all, if the folder is shared with somebody it will have a different icon:
Now you can easily make apart your private folders and the folders that are shared with others.
To see who else has access to a folder do the following.
- Right click on the folder And select the “share” option.
- Go pop-up window that you see is not really very informative, is it?
- But if you click on the list of people that the document is shared with you will see much more. You will see not only who has which level of access to your data but you can edit these levels as well.
- Moreover, if you open this folder you will also see the list of people it is shared with in the top right corner. If you point your mouse on each of these people you will see the level of access that they have.
Back up files on Google Drive
As I have already mentioned above, people who you share your documents with may delete these files. Just imagine how much pain it would be for a Google Apps admin to restore the data what has already been deleted even from the Trash folder.
