Email signature is a very important aspect in your corporate mailbox. It is the first thing that people notice under your emails. It can help you to develop your brand recognizability and improve your first impression.

So how to set up a really good signature in Gmail?

Click on the gear icon in the top right corner and select Settings.

Scroll down to the “Signature” part.

Here you can type any text, set up the font type and color that you like and you can also include some images like your company’s logo.

But how can we make it better? What elements are required for a really great Gmail signature?

Keep your Gmail signature short

The Gmail signature should contain the following information:

  • Your name
  • The name of your company and your position
  • Phone number
  • Email address

Do not include 10 different phone numbers that are used in different departments. Just put in the number that you can be contacted at.

The good Gmail signature contains 3 or 4 lines. No need to write tons of words. The more you write the less are the chances that anybody will ever read it.

You can also include your company’s website in case you have a public email address like somebody@gmail.com.

Be law-obedient

Short signatures are good, but do not forget about the laws that you should obey. For example, in some Europena countries you are obliged to include the following information into your signature by the law:

  • Company number
  • Address of registration
  • VAT number, if you have any.

If you do not include it you can be fined for this.

Develop your brand recognizability

If people see the logo of your company from time to time, earlier or later they will remember wht it looks like and they would be able to recognize you among your competitors. And people tend to trust more to the companies they are aware of.

The best way to improve your brand recognition is to put your company’s logo into your signature.

Make sure that the logo is not very big. Let’s say, 100*50 px is the optimum size.

You can choose the image that is located on your desktop or you can add an image from your Google drive to your Gmail signature.
